Write it the way it should read on the register — "3 months", "5 years", "permanently".
A different Administrator has to approve this before it becomes the policy.
Data retention — what PxlScrn holds, and for how long
Apply for an organization
Tell us about your organization and yourself. An Administrator will review your application and, if approved, send you a temporary password so you can sign in as the organization's President and finish setting things up.
Joining an existing organization instead? If your club wants to become a member club of a
PolyClub that already uses PxlScrn, this is not the form — it creates a separate organization,
and the two cannot be merged afterwards. Contact that organization directly and ask them to add your club;
they will send you a sign-in.
We also need your Competition Chair — the person we write to about competitions.
Every competition is run by a Moderator, and unless someone else is chosen that is the Competition Chair,
so this is the address our competition notices go to. It may be you: many organizations hold both offices
in one person, and you can change it later.
Application received.
An Administrator will review and reply by email to mslynn@abc.def.
Competition Chair
A different person needs a different email address — it is how each of you signs in.
Personal or organization addresses both work; they only have to be distinct.
Before you apply, please read .
The same policy applies to every organization — PxlScrn cannot vary it for yours — so if it does not suit you, now is the moment to decide that.
PxlScrn is not for entrants under 18.
It does not collect dates of birth and is not built to handle a minor’s data — which needs
verifiable parental consent and different rules about publishing a name beside a photograph. If your
organization runs a youth section, run those competitions elsewhere.
Material you download leaves our control.

Welcome to Acme Corp. Choose an area to manage.
Signing in opens to this Home page by default so a new organization can set up its general items first — Organizational Settings, Entrants, and Email settings. Once those are in place, choose below where signing in should take you. Run Competitions is the one you will visit most — every month — so a Moderator who is past setting up may prefer to land there. Every page keeps a return link back.

Fixed Settings
Settings that apply across all your competitions and cannot be varied for one of them. A change takes effect from your next Competition Year — each season keeps what its entrants agreed to.
Fixed Settings
Settings that apply across all your competitions. (Settings for a single competition live in that competition's Competition Settings.)
When on, each entrant can read a Competition's Catalog of Awards on screen from their Results page, once that Competition's results are finalized. The catalog stays inside the app — nothing is saved to their device, and nothing can be passed on. On by default. (Saved immediately.)
When on, each of your clubs can read any finalized Competition's Catalog of Awards on screen, and present its Slideshow, from their own sign-in — across all your competitions, not only Interclub. Both stay inside the app: there is no download for a club. On by default. (PolyClubs only. Saved immediately.)
When on, entrants also get a Download button, keeping a permanent copy of the Catalog (PDF) as a memento of their results. Serving those files uses delivery (egress) resources your organization bears, and a downloaded file can be passed on to anyone, so it stays off unless you turn it on — viewing above is the lighter option. (Saved immediately.)

Image Records Management
Competitions
Everything your organization does about competitions, in the order you meet it — the standing setup you do once, the year you set up each autumn, and the competition you run each month.
Competition-Wide Settings
What applies across every competition you run. You set these up once when you start and revisit them rarely — a change takes effect from your next Competition Year, never the one already under way.
Standard Emails
The standard emails your organization sends from the Guide. Edit the wording to suit your club — these become the defaults that appear when a step opens an email. You can still adjust any message at the last minute before it's sent (there's a Restore to standard button there too). Placeholders in {curly braces} are filled in automatically when the email is prepared.
Set Up Competition Year
Everything that brings a Competition into being — your Sections, the Competition Year and its span, its Settings, the dates, and any Special or Year-End Competitions. Once a Competition exists, you run it from the Run Competitions Guide.
Competition Functions
The individual tools for running a Competition. You normally won’t need these directly — the Run Competitions Guide takes you to the right one at the right time — but they’re here when you do.
Special and Year-End Competitions
One-off competitions that sit outside your regular monthly schedule — anniversary shows, guest-judged events, year-end competitions. Pick a Competition Year, then add or set up its Specials. Note: a Special can only be deleted before its Open Date — on or after that date the Delete button is removed.

Instructions
This gathers the year’s qualifying award-winning images into the Year-End pool, grouped by their original Section. Each image keeps the score it earned in its month.
Do this once every Regular month of the year is finalized.
On the next page, click Populate now (or Re-populate to refresh if results change later).
Then move on to Review the pool to remove anything that shouldn’t compete.
This Year-End draws its pool from the year’s 3 Regular Competitions.

Issue Reports & Catalogs
Issue Entrant Reports and Awards Catalogs for any Competition in the selected Competition Year — “issue” meaning download or email. You can produce as many as you like without leaving this page. An Awards Slideshow is not issued from here: it cannot be downloaded or emailed (it plays only inside PxlScrn), so it lives under Present on the Run Competition page.

System-wide Competition Year Settings. These seed the first Competition Year of every new organization. Any Administrator can update; changes apply only to Competition Years created afterwards.
Default Settings
These values seed the first Competition Year of any newly created organization. They are not Section Definitions, Policies, Competition Months, or Awards — those stay an org-by-org choice. Changes here affect only Competition Years created after you Save.

Maximum characters in an image title (including spaces). At least 25. Leave blank for no limit. Please type in the number.
Number of skill levels (0 to 5), then a name for each — lowest skill first. Names are optional.
Allow entrants to submit, in a later month, images missed in an earlier month.

Whole numbers from 2 to 10. Lowest must be less than Highest. (The DQ Indicator is always 1.)
When each Competition's judging opens (a number of days after its Close Date) and how long it stays open. These seed the per-Competition Judging Dates set on Adjust Competitions.
Opens
Closes
How many days after a Competition’s judging closes a Moderator can still review it in Run Competition (view progress, review DQ / recused images, override scores, tardy-judge actions). Whole number from 1 to 20.
How long after a Competition's judging closes before its results may be released to entrants. The wait gives the Competition Chair or President time to prepare the announcement before anyone sees the outcome. Choose No hold to publish as soon as the Competition is Finalized.
In Review Mode the judge sees small versions of every image they have scored. When No, changing a score requires tapping a Review Image to switch to Full Mode. When Yes, the score pill on each Review Image is itself clickable and pops a small picker for in-place re-scoring.
If a judge has not finished scoring by the time the Judging ReScore Deadline passes, their remaining unscored images can be recused automatically (where the other judges have scored the image) so results can be finalised — or only when a Moderator triggers it. Images too many judges left unscored are never auto-recused; they are listed for the Competition Chair to resolve.
How Skill Levels are handled when scoring. Applies to scoring only, not awards selection.
Select 1 to 6.
When Yes, image titles are shown to judges as they score.

System Settings
The system-level settings for the whole PxlScrn service.
These are the system-level settings for the whole PxlScrn service. Settings for a single organization live inside that organization (open one from All organizations).
OrganizationOnly Super Administrators can edit.
The product’s own name, used in the interface, the guides and the emails.
The organization that owns and operates the application — not the application itself. This is the party a privacy policy names as responsible for a member’s data, so it wants to be the legal entity rather than the product.
Separate from the sign-in link below: this is where the operating organization can be found, not where a person signs in.
Annual profile-review reminderOnly Super Administrators can edit.
PxlScrn automatically emails each organization's President — with a copy to the Competition Chair — on the anniversary of that organization's Join Date, asking them to review their Organizational Settings. The date below is only a fallback, used for any organization that has no Join Date on record. Edit the message here; send-records appear in the Email Outbox.
Where the email's "sign in here" link points. A soft placeholder until the production address is set.
Tokens you can use in the subject or message: {app} (the app name), {given name} (the President's given name), {sigSuperAdmin1} (SuperAdmin1 signature block), {signInUrl} (the sign-in link), {org} (each organization's name).
New-organization welcome emailOnly Super Administrators can edit.
Sent to a newly approved organization's President, with a copy to the Competition Chair, telling them where to start. It is not sent automatically — a Send welcome email button appears on the approval screen and on the approved application's row under Applications, so it goes when you are ready. It carries no passwords: sign-in details keep their own out-of-band channel. Send-records appear in the Email Outbox.
Tokens: {app} (the app name), {org} (the organization's name), {orgId} (its Organization ID), {given name} (the President's given name), {setupSteps} (the setup checklist, written out — the same steps the Set Up Competition Year Guide shows, so the two cannot drift), {signInUrl} (the sign-in link), {sigSuperAdmin1} (SuperAdmin1 signature block).
Archived imagesOnly Super Administrators can edit.
A system-wide storage policy. When a Competition Year is archived, its images are reduced to this maximum size to bound stored bytes. It applies to every organization — the system operator carries the storage cost — and is read at the moment a year is archived, so a change here applies to all future archives. Full resolution is kept while a year is active and being judged; the reduction happens only at archive time. Enforcement begins once image storage moves to the server; this sets the policy now.
Recommended 2048. (The Awards Catalog already exports at ≤1700.)
If PxlScrn is closingOnly Super Administrators can edit.
Organization Policy 1.7 undertakes at least 90 days’ notice before PxlScrn stops, or passes to another operator, with downloading available throughout. Setting the closing date here opens every organization’s photographs, as well as their records, until that day.
External ProvidersOnly Super Administrators can edit.
The outside services PxlScrn uses to run this system — a database host, an email sender, and whatever else is added. These are PxlScrn’s own providers, not each organization’s: an organization does not engage them, so it neither adds nor edits them and sees this list read-only. They exist so the Privacy Policy can say where a member’s data actually goes without that being written into the policy text, which would differ per organization and go stale.
Reserved PlaceholdersOnly Super Administrators can edit.
Every placeholder the system speaks for, in one namespace — documents, emails and External Providers alike. A new provider’s placeholder must not collide with any of them.
An alias is an extra name, never a rename. Both go on working, for ever, so nothing already written — including a season already frozen — is disturbed. None of this is editable by an organization: an organization changes what {org}refers to, never the token itself.
Developer
Support / development access for the system operator. When Advanced mode is on, organizations reveal the direct Competition Functions back-door (and the Run Competitions Guide shows where each step lives). Normal operation never needs this — it applies to this browser only and is meant for troubleshooting or development.
One Save for all three tabs it appears on — this system’s identity, the letters it sends to organizations, and the archived-image size. Super Administrators and Administrators are saved from their own Add / Edit dialogs.
Club Profile
To rename the club, contact Acme Corp.
Alternate — optional third person (backup), shares the club password
Your Contact, President, and Alternate emails are your sign-in IDs. If you change one, use the new email next time you sign in.
Club sign-in password
Shared by your Contact, President, and Alternate for signing in as the club. Reset it whenever someone leaves — anyone who knew the old password can no longer sign in with it (they could otherwise still sign in using another officer's email).

Judge Sign-in PIN
Allowed Sections
External Judges
Guest judges who are not members of your organization. They can be assigned to judge any Competition but never appear as entrants and cannot enter competitions. Members who judge are picked from the Entrants list instead.
Add an external judge
An external judge is a guest who judges for your organization but is not a member. They never appear as an entrant and cannot enter competitions.
Used only as the judge’s sign-in identifier — no mail is sent.
Post-nominal letters shown after the judge’s name in the Catalog of Awards. Separate multiple PostNominals with a comma or space (e.g. FRPS EFIAP) — they display after the name comma-separated with no spaces. Keep current, as PostNominals change over time.

Confirm before entering
Before entering any Competition in 2026, please read the following Policies that apply to this Competition Year. Entering images means you agree to abide by each of them.
Once agreed, this covers every Competition in this Competition Year — you won't be asked again for the same Competition Year.
Please check your Profile

Add club
You are opening an account, not filling in the club’s record. Name the club and its President — the person the account is handed to — and leave the rest blank. The club completes its own Contact, Alternate and Interclub Coordinator on its Club Profile page, where the people who know them are. Use Ask the club to complete its details after saving.
Alternate — optional third person (backup), shares the club password
Interclub Coordinator — optional; appointed by the Club President
Required if the club plans to enter the Interclub competition — without a Coordinator appointed, the club cannot enter. A club that does not enter Interclub needs no one here. Any member of the club may be appointed, the President included — and naming someone who is not yet on the club's member list adds them to it, because a Coordinator has to be a member. The Coordinator signs in with their own entrant login — they are not given the club password, and they can do nothing but enter Interclub and ask their own club's members to affirm the Entrant Policy.
Shared by the club's President and Contact to sign in (with your OrgID and the club name). Share it with them; reset it any time. Club sign-in itself is still being built.
Add member
This person's membership number in your club. Your club sets it — it can differ from their number in another club, and it's separate from their organization-wide Org Member No.
If this email already belongs to a member of your organization, they'll be linked to your club (their name may update). A new email creates a new member with a sign-in password.
Review roster import
Choose your club for this year
You're an active member of more than one club. For this competition year you enter from one club. Choose it now — it applies to every competition this year (including any Special Competitions) and can't be changed once set. (Your organization can adjust it until your first competition closes.)

Add definition
An image is considered to be Monochrome only if it gives the impression of having no color (i.e. contains only shades of grey which can include pure black and pure white) OR it gives the impression of being a greyscale image that has been toned in one color across the entire image. (For example, by sepia, red, gold, etc.) A greyscale or multi-colored image modified or giving the impression of having been modified by partial toning, multi-toning or by the inclusion of spot coloring does not meet the definition of monochrome and shall be classified as a Color Work.
The subject matter is otherwise unrestricted.. There may be a theme specified.
Elaboration: A monochrome image is defined by the presence of exactly one color or hue; it can display unlimited variations in that single color’s intensity, tints, and shades but may not include additional colors (partial toning, split-toning, spot coloring, etc). Black and white images (also referred to as grayscale) are considered monochrome, though technically they are achromatic images which may span the full tonal range from black to white.
Attention is drawn to the PSA Statements on Artificial Intelligence and Subject Matter which apply to all competitions..

Add your own policy
Your policy is added after the required ones and never mixed in with them. It may add to them; it may not contradict or weaken them.
Leave a blank line between paragraphs. You may use {org} for your organization's name.
Both wordings are written by hand, in parallel — the same way {app} writes its own. Saving them together is what keeps them from drifting apart.

This is the only place an entrant can read what you want before they enter, so a restriction you have not written down is one nobody can comply with. The same sentence may need repeating in several definitions; that is the cost of saying it plainly, and it falls on you rather than on them.
These should be great pics of interesting landscapes

2026
Open Set Up Competition Year, click Set or Adjust Settings on each of those Competition Years, deselect this Policy in Policies That Apply To This Competition Year, save, and then return here to delete it. Archived Competition Years don't block deletion.
Or replace it everywhere at once with another policy — that reassigns each Competition Year above and removes this one in a single step.
Replace this policy
will be replaced with the policy you choose below, then removed from your organization's policies.
Entrants will be asked to read and agree to the replacement wherever it now applies (their acceptance of this policy was tied to it specifically). Archived Competition Years are unaffected — they keep their own frozen copy.
Add Interclub Year-End Competition
A short name for this Special Competition (e.g. “Anniversary Showcase”). You can change it later in its Settings.
A Year-End Competition has no entry window — its entries are drawn from the year's award winners. After you create it, open its Settings to choose which award levels qualify, set the judging dates, and populate the pool.
When entries open. Defaults to two weeks before Close; you can move it earlier — even into the prior calendar year.
Sets the year this competition belongs to; it stays within the Competition Year and must be at least 2 weeks out.
No valid Close Dates remain in this Competition Year.
This Interclub Year-End Competition will belong to Competition Year 2026 (Interclub test) and draw its entries from that year's Interclub award winners.

Set Awards
This starts a guided session for assigning awards collectively with your judges for this Competition, which has Automatic Assignment of Awards turned off.
You will work through each Section — and, where the Competition uses Skill Levels, each Skill Level in turn. (For Regular Competitions, awards are always assigned Skill Level by Skill Level when Skill Levels exist, even if the judges scored with the levels combined. A Special Competition splits by Skill Level only if its own Settings say to judge the levels separately — normally everyone competes as equals.) For each, a window pops up that you can share with the judges over Zoom or similar conferencing software. The judges see only the images under consideration, by number — no titles, authors, or scores — so their judgment isn’t anchored. You discuss, the judges call out the awards, and you record each one from its dropdown. Your own private view, in this main window, keeps the titles, authors, and scores.
Important: when you share in Zoom, share only the pop-up image window — not your whole screen — so the private details stay private.
